Keepify Privacy Notice
Private pilot · 28 October 2026
Keepify helps you capture spoken or written thoughts, organise notes and checklists, and keep original transcripts and note history. This notice explains how the pilot handles your information.
Who operates Keepify
Alessandro Bertoletti operates the Keepify pilot. For privacy, access, correction or deletion requests, contact alessandro.bertoletti.dev@gmail.com.
Information processed
- Account information: email address, account identifier, linked sign-in identities and profile information supplied by your chosen sign-in provider, such as a display name. Apple may provide a private relay email address.
- Your content: recordings you choose to submit, original transcripts, notes, checklist entries, revisions, and sharing invitations and permissions.
- Service information: basic request, connection and error information used to operate, secure and troubleshoot the pilot. Authentication and hosting providers may keep security records such as IP addresses.
Why it is used
We use this information to sign you in, save and synchronise your content, transcribe audio, organise notes, maintain history, apply sharing permissions, provide support and protect the service. Keepify does not contain advertising or advertising trackers, and the pilot does not sell personal data.
Recording and processing
The microphone is used when you start a recording. A completed recording can remain on your device while awaiting upload. Submitted audio and text are processed by cloud services; Keepify is not an on-device-only service. Once the server accepts a capture, processing may continue when the app is closed.
Service providers and sign-in
The pilot uses Railway for hosting, Supabase for accounts, database and private audio storage, and Microsoft Azure services for speech transcription and text organisation. These providers process information for the service according to the configured services and regions; processing may involve more than one country. Google or Apple handles its own account sign-in when you choose that provider and supplies identity information to Supabase Auth. Keepify does not receive your Google or Apple password. If you choose the email/password alternative, Supabase Auth verifies that password; Keepify does not place passwords in notes, URLs or application logs.
Sharing with people you choose
Notes and lists can be shared with people you invite, with the permissions you assign. Sharing processed notes does not give collaborators access to your private recordings or original transcripts. People who can read shared content can still make their own copies.
Retention and your controls
Account content is retained while you keep it in the pilot. Note history remains with the note. You can remove individual captures, delete notes you own, export your notes and original transcript text, or request account deletion from Account. Removing a capture does not automatically remove text already incorporated into a processed note.
Account deletion removes your active account, owned notes and associated history, private captures and stored audio, and your memberships. Notes owned by other people remain; contributions incorporated into those notes may remain with them. Security records and provider backups, where present, may remain for their configured retention periods. Contact us if you need more information or if a deletion request reports an error.
Security and device storage
Cloud requests use HTTPS. Access to stored content is restricted by account and sharing permissions. The app stores session information and pending captures locally so completed captures can be retried. Protect access to your device and remove unneeded pending captures before giving the device to someone else.
Audience and changes
The private pilot is intended for adult invited testers and is not directed to children. We may update this notice when the service or its providers change; the date above identifies this version.
